How to use this estimate template

  1. Fill in your business details and the customer's name, address and phone at the top.
  2. Describe the job in one or two plain sentences under “Scope of work”, including what is not included.
  3. List each task or material on its own line with quantity, unit and unit price. In the Excel version, line totals, subtotal, tax and total calculate automatically.
  4. Enter your sales tax rate if your state taxes the materials or service, and note any allowances (for example, a fixture the customer will pick later).
  5. Set the payment terms, how long the estimate is valid, and the expected start and finish dates.
  6. Both sides sign and date. Keep a copy for your records.

Tips for a clear estimate

A good estimate answers questions before they are asked. Separate materials from labor, and spell out exclusions — “drywall patching not included” prevents a lot of awkward conversations later.

If you are a homeowner, you can also use this layout to ask contractors for quotes in the same format, which makes the contractor comparison worksheet much easier to fill in.
